The mission of Student Life is to work in partnership with Academic Affairs to integrate living, learning, and faith, whereby students are educated for Christian service and leadership throughout the world. 

The mission of Residence Life Education and Housing is to provide environments that promote students' spiritual, social, and academic development as they live and learn in community with one another.

I. Basic Responsibilities:  The major functions of the position include:

  1. Residence Life Education and Housing Daily Operations/Office Management/Budget.
  2. Residence Life Education and Housing Customer Service.
  3. RLEH Housing Policies / Departmental Communication / Campus Liaison
  4. Perform special projects and other duties as assigned.

II.  Essential Duties include the following:  Other duties may be assigned.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential function.

A. Residence Life Education and Housing Daily Operations/Office Management/Budget.

1.      Manage the daily operations of Residence Life / Hall budgets.

    1. Manage RD hall expenditures, keeping close watch on budget expenditures, executing journal entries, etc.
    2. Provide a bi-monthly RLEH budget report to Director of RLEH.
    3. Provide bi-monthly Hall budget report to Director of RLEH.
    4. Enter and reconcile p-card purchase receipts for the Director on a monthly basis.
    5. Receive and notate p-card purchase receipts for all Res Life staff in appropriate hall budget. Reconcile with RD bi-monthly budget reports.
    6. Check Physical Resources expenses on a monthly basis, providing a monthly report to the Director.
    7. Work with Res Life members for summer furniture purchase and summer renovation projects.
    8. Manage the Loft Kit purchases, including depositing money, totaling revenue, and effectively communicating with parents and others.
    9. Complete payment requests, purchase orders, journal entries and budget adjustments at the request of the Director of RLEH.
    10. Work closely with The Depot, Director of RLEH and the Residence Life Coordinator to develop a premier Residence Life customer service presence.
    11. Includes, but not limited to, returning emails and phone calls, communicating via phone, email, and in-person with parents and students, communicating with other ACU departments and campus constituents.

2.  Direct the Residence Life housing request process, including summer camp hiring, partnerships, budgeting, and billing.

    1. Manage complete summer housing schedule, including summer rental contracts for sports camps, Leadership camps, and off-campus camps.
    2. Coordinate WFF/Physical Resources cleaning and maintenance, and other summer hall initiatives.
    3. Keep accurate and up-to-date revenue picture for summer camps. 
    4. Work in close partnership with WFF, Physical Resources, Leadership Camps, Athletic Camps, and Residence Life to continually improve the summer camps process.

3.  Develop and coordinate training in Banner, Banner Web, Discoverer, and CS Gold for RLEH staff as needed.  Serve as the "point person" for CS GOLD for Residence Life.


a.  Work with Assistant Director of Residence Life for hall access to early move-ins. 

B.  Residence Life Education and Housing Customer Service.

  1. Serve as principal manager for RLEH customer service.  Includes, but not limited to, returning emails and phone calls, communicating with students and parents, communicating with other ACU departments and campus constituents.  Notifying the Director of RLEH of parent and student issues as needed.      
  2. Provide development and quality control for written and oral communication and documentation.
  3. Oversee the general files and records of the office.
  4. Develop relationships and improve inter-office communication and work relationships between the office of Admissions and ALPHA Services.
  5. In conjunction with the Director, type agenda and take minutes during weekly staff meetings. Email meeting minutes to RLEH staff on a weekly basis.
  6. Compile weekly reports from RD's on a weekly basis.
  7. Complete personnel action forms (PAFs), maintain personnel records and approve time for student employees and non-exempt staff. Additionally, verify non-work time reports, leave requests, and Banner leave balances.
  8. Work with Residence Life and Housing Coordinator to assure hall safety checks and the compilation of monthly RD Hall safety checks. Notify Director of delinquent or incomplete checks. Coordinate burn room, fire/tornado drills.
  9. Continue to develop, implement, and maintain new RLEH student records process.
    1. Work closely with students, their families, and APLHA Services to receive medical notices from appropriate sources and place students in residential housing accordingly.
  10. Oversee the release of student housing information to third party requestors.

C.  RLEH Housing Policies / Departmental Communication / Campus Liaison

  1. Draft letters, flyers, e-mails, etc. to inform students, campus constituents, parents, and others of important dates or policy changes.
  2. Direct, maintain, and promote a RLEH calendar of important dates for students, staff, and ACU campus constituents.
  3. In conjunction with the Director and Residence Life and Housing Coordinator, inform and maintain the RLEH Web site.
  4. Assist the Director of RLEH with departmental communication; including reminders, meeting arrangements, weekly-report collection, hall assessment collection, hall rosters, p-card statements, and so forth.
  5. Benchmark, research, and make recommendations for new RLEH policies, oversee and direct the student staff marketing, promotion, and hiring process.   
     

D.  Perform special projects and other duties as assigned.

  1. Coordinate, with the Assistant Director of Residence Life, residence hall hospitality with the Office of Admissions during peak visitor weekends, i.e., Freshman Follies, Sing Song, Purple Fridays, etc., communicating to Residence Directors and Student Ambassadors as needed.
  2. Maintain records on behalf of Director of RLEH to provide reporting for residence hall programming.
  3. Attend chapel regularly.
  4. Attend staff functions throughout the year, including all training, one-on-one meetings, staff development, programs. 
  5. Maintain a positive attitude, high integrity, loyalty and be a supportive residence life team member.

A.  Professional

  1. Bachelor's degree preferred. 
  2. Knowledge of ACU policies and procedures.

V.  Physical Demands: These are physical demands that are regularly required to perform this job.

  4. Ability to work at a computer terminal, including keyboarding.
  5. Ability to run errands.
